As the Executive Secretary/Human Resources Assistant, you will help drive organizational excellence by managing executive operations, supporting board governance, coordinating key HR functions, and maintaining the highest standards of professionalism and confidentiality.
What You’ll Do
Executive & Board Support
- Serve as the primary administrative support for the CEO and Board of Directors.
- Coordinate board meetings, committee meetings, executive schedules, travel arrangements, and conferences.
- Prepare meeting materials and record accurate board and committee meeting minutes.
- Maintain confidential board records, correspondence, attendance records, and committee assignments.
- Assist with monthly reporting and agency performance dashboards.
Human Resources Support
- Assist with onboarding and employee documentation, including benefits enrollment and personnel records.
- Support FMLA administration and employee compliance processes.
- Coordinate driver’s license checks, background screenings, and annual employee verification requirements.
- Assist with performance evaluation correspondence and personnel file maintenance.
- Maintain employee records, staff listings, and other HR-related documentation.
Administrative Excellence
- Create professional correspondence, reports, presentations, and spreadsheets.
- Manage confidential information with discretion and integrity.
- Ensure accurate and timely preparation of required reports and documentation.
- Support compliance with regulatory and organizational standards.
What We’re Looking For
Required Qualifications
✔ High School Diploma or GED (Bachelor’s Degree preferred)
✔ Minimum of three years of advanced experience using:
- Microsoft Word
- Excel (including formulas, pivot tables, and data analysis)
- PowerPoint
- Outlook
- Artificial Intelligence platforms and productivity tools
✔ Exceptional organizational, communication, and time-management skills
✔ Ability to manage sensitive and confidential information with professionalism
✔ Valid Michigan Driver’s License and insurability under STEP’s insurance requirements.
